The Role:

As the Office Manager, you will be responsible for the daily operations of our NYC office.  Duties include, but are not limited to, welcoming guests, handling deliveries, ordering and restocking supplies, scheduling catering, maintaining an organized office appearance, communicating with vendors for general office repairs, and other relevant office duties as needed.

This role is based in Midtown, NYC and the selected candidate will need to be in the office daily (Monday through Friday) approximately from 8AM to 4PM.

  • Keep the office running smoothly by maintaining a comfortable, organized and clean environment at all times
  • Maintain office inventory by restocking office or kitchen supplies: placing orders (e.g., lunch selections and distribution), putting items away, ensuring all items are organized, knowing the location of items
  • Partner with HR to assist with onboarding and offboarding, including packaging onboarding supplies such as swag or laptops
  • Support with shipping and receiving of packages and mail for the office. Distributing mail and packages to the correct team member, scheduling pick-ups, maintaining a good relationship with UPS, Fedex and USPS carriers
  • Ensure office updates are communicated to all team members (e.g., office closures)
  • Become the main point of contact for all building, facilities and equipment needs, ensuring maintenance is up to date
  • Assist with building safety training, fire safety and other OSHA related tasks
  • Understand and support relevant office tasks, services and responsibilities
  • Identify and develop relevant cost savings opportunities and service enhancements
  • Manage vendor relationships and audit vendor performance, driving service excellence and act as quality control/assurance on vendor quality and performance
  • Review all appropriate documents, manuals and standard operating procedures to be familiar with details of engaging with guest visitors and employees
  • Ensure complaints, questions, concerns and suggestions are addressed and conduct follow-up, if needed
  • Lead and manage direct reports while providing daily oversight and guidance to the team’s day-to-day operations

Compensation: $60,000-95,000 gross annual base compensation plus bonus (contingent on performance and company goals being met).

  • Technical Proficiency; competency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) required
  • Demonstrates integrity, dependability, responsibility, accountability, self-awareness, work ethic, and empathy

Job Requirements:

  • Ideally 5-7 years of relevant experience overseeing a 100+ person office, preferably in or familiarity with financial services offices
